Summary

A Swedish industrial manufacturer improved sales efficiency by implementing a fuzzy logic–based algorithm to detect duplicate projects, achieving 80% accuracy and reducing manual review efforts.

Challenge

The client, a global manufacturer of sustainable productivity solutions, was experiencing inefficiencies in its LC3 internal platform due to duplicate project entries. These redundancies created confusion for sales representatives, who had to manually sort through overlapping records tied to the same leads, usernames, or descriptions.

The objective was to enable the sales team to detect and remove duplicate projects efficiently. The existing system lacked automated tools for deduplication, leading to wasted time and inaccurate data. A scalable, intelligent solution was needed to streamline project management and improve data quality.

Solution

Marlabs developed a multi-phase solution centered around intelligent automation and fuzzy matching techniques.

Deduplication program design & setup

In the first phase, Marlabs designed a parameterized deduplication program that extracted relevant fields from the LC3 database. Fuzzy logic was configured to identify potential duplicates based on similarities in project metadata. This foundational setup enabled the system to flag redundancies with high accuracy, replacing manual review with automated detection.

API development & integration

The second phase focused on building a backend API to deliver deduplication results directly to the live LC3 application. This integration allowed real-time access to flagged duplicates, enabling seamless interaction between the algorithm and the user interface. Backend validation ensured that the API delivered reliable and consistent results.

Deduplication execution & reporting

In phase three, the deduplication program was executed across all existing projects. Automated reports were generated to summarize detected duplicates, providing sales teams with clean and validated project lists. This reporting mechanism improved transparency and allowed for quick review and confirmation of results.

Ongoing application & validation

The final phase ensured the solution’s long-term effectiveness by applying the deduplication program to new projects in real time. Continuous monitoring and accuracy validation helped maintain data integrity and reduced the need for manual intervention. This phase supported scalability and sustained operational improvements.

Results

The deduplication system delivered strong outcomes for the client:

  • Improved accuracy: Achieved an 80% success rate in detecting duplicate projects.
  • Reduced manual work: Sales representatives spent less time reviewing project data.
  • Faster sales processes: Clean project lists enabled quicker engagement with prospects.
  • Stronger collaboration: Fostered shared success between Marlabs and the client.
  • Intelligent innovation: Demonstrated the client’s ability to leverage AI-powered automation.
  • Scalable solution: Continued to support new projects with minimal intervention.
