In the competitive world of event management, creating a strong first impression is crucial. Therefore, companies must carefully choose event spaces that showcase their values and brand. However, it can be challenging to select a suitable event space and ensure it aligns with a company’s goals. Marlabs, a leader in digital transformation, developed an innovative event visualization tool to help companies envision the entire event before deciding on the venue. As a result of this cutting-edge tool and other innovations, Marlabs significantly increased event planning efficiency for one of the largest logistics firms. This case study will provide an in-depth analysis of how Marlabs revolutionized event management for their client through design-led digital innovation.
The client, a large logistics firm, provides on-site print and ship centers for event and exhibition planning in Hotels and Convention Centers (HCO). Conventionally, the HCO centers have managed their operations through manual processes, such as Excel sheets and Quick Base, leading to inefficiencies and miscommunication between teams and customers. These traditional methods have also limited the client’s ability to provide a creative and intuitive experience for customers in planning print displays. As a result, the client faced overwhelming operational challenges in managing the event spaces effectively.
Understanding the situation’s complexity and the client’s needs, Marlabs sought to provide a solution that would address these issues head-on. The primary objective was to streamline the event management process and create a seamless experience for all stakeholders involved.

Marlabs aimed to create a fully digital experience for the client and its stakeholders, minimizing face-to-face interactions and maximizing efficiency. Therefore, the solution required a customized platform that allowed multiple stakeholders, including clients, printers, and third-party installers, to interact effectively in real time. In addition, the platform needed to provide customers with a visual representation of how their event spaces could be used for different types of print collateral, allowing them to make informed decisions.
Marlabs analyzed the client’s workflow to get an in-depth understanding of the client’s processes. Then, they proposed a digital platform that would replace time-consuming processes, eliminate ambiguity, and enable clients to scope event spaces without traveling.
Over six months, the Marlabs team curated over 150 HCO locations and developed a responsive web-based application for prospects, clients, teams, and third-party contractors. The platform featured a repository of hi-resolution images of every event space, mapped for main areas and subareas where print media could be displayed. In addition, an interactive interface with a dashboard was developed to track and monitor orders across stakeholders. This allowed clients’ customers to see how the event spaces could be used and experiment with branding surfaces before placing orders.
The solution was not just a simple online scheduling application that could be addressed with commercially available software. Instead, Marlabs went above and beyond, creating a comprehensive platform that integrated various event planning and management aspects.
The platform was built using an open-source technology stack, with a unique image customization tool allowing HTML and CSS modifications tailored to the client’s needs. This feature provided the client with a cost-effective, flexible, and customizable solution catering to their requirements.
By integrating 20+ event-specific tools into one platform, Marlabs allowed teams to access all necessary details throughout the event lifecycle and share crucial information with clients. As remote work becomes increasingly prevalent, Marlabs’ digital platform allows clients and customers to access event data and connect from anywhere. Also, the platform included filters for search criteria, drag-and-drop functionality for branding collateral, and interactive walkthroughs, all of which enhanced the customer experience. This feature made the event planning process more convenient and enabled clients and customers to collaborate effectively, even in different geographical locations.
The web-based application allowed customers to obtain estimates and generate quotes for print requirements and delivery times. As a result, order changes and revised estimates could be made quickly, streamlining the order process. An intuitive dashboard provided a single view of every order for Marlabs, the client, and its customers. Icons indicated the status of each order, with delivery times and print specifications mapped out. The Science and Graphics team could track customer requirements, ensuring timely printing and installation of collaterals. Triggers and notifications ensured that everyone stayed up-to-date on the important order information, resulting in a more efficient and effective process.
